For law firms
Reliable medical evidence, without the chasing
You instruct us; we instruct a suitably qualified independent expert, manage the case to the final report and bill you one inclusive fee. From instruction to invoice, you can see exactly where every case stands.
How it works
Six steps, all visible to you in the portal
Our secure portal is launching soon. Until then, instruct us by email and we’ll keep you updated on each case.
Step 1: Instruct us online
Instruct one case through the portal, or many at once from our spreadsheet template, and upload the letter of instruction and records at the same time.
Step 2: We check the instruction
We confirm the documents the claim type needs are there, check for duplicate claimants and conflicts, and tell you straight away if anything is missing.
Step 3: We instruct an independent expert
We instruct a suitably qualified independent expert, who confirms they have no conflict. Where an appointment is needed, the claimant chooses a time from the expert’s availability.
Step 4: The expert reports
The expert receives the records sorted, paginated and indexed, with a chronology and summary prepared for them, and writes their own independent report.
Step 5: We check the report before release
Every report is checked against the claim type’s checklist, including the questions in your letter of instruction and the Part 35 statements. A person reviews anything flagged.
Step 6: You receive the report securely
The report is released to you through the portal, never as an email attachment. Raise Part 35 questions there too, with the deadline tracked for you.
What the portal gives you
- Each case’s live status: records, appointment, report and questions
- Upload instructions and records, and download reports, securely
- Message the case team on the case itself
- Raise Part 35 questions, and view invoices and statements
- A dashboard of spend and outstanding invoices, exportable to a spreadsheet
How to instruct
What to send, and what happens next
What to send
- Your letter of instruction, with the questions you want the expert to answer
- The medical and other records you hold
- The claimant’s contact details, so we can arrange any appointment
- Any deadlines, such as a court date or a date the report is needed by
How to send it
By email now, and through the portal once it opens. Email us at enquiries@probitamedical.co.uk and we will send you a secure way to upload documents. Instructions and records are handled digitally only: we do not accept paper by post.
What happens next
We check the instruction, tell you straight away if anything is missing, and instruct an expert. From then on you can see the case’s status, next step and every message in the portal, and the case team is a message away.
Secure records upload
Upload records straight to the case, or send a secure upload link to a record holder, such as a GP practice, so they can add records without an account. No copying, no lost post and no waiting for paper. Every file is checked for viruses before anyone opens it.
Multi-track, clinical negligence and complex cases
For higher-value and complex claims we agree the choice of expert with you before we instruct, and keep you updated at each stage, including where experts from more than one specialty are needed.
Included in every report
Records review and quality checks, as standard
Built into our platform and into the fee, not added on.
AI-assisted records review
Records are sorted, paginated and indexed, with a chronology and summary prepared for the expert. The expert checks the summary against the records themselves.
Checks before release
Each report is checked against its claim type’s checklist: your questions answered, Part 35 statements present, and names, dates and records seen consistent. A person checks anything flagged.
The opinion stays the expert’s
AI never forms or changes a medical opinion, and Probita gives none. Our checks look at completeness and accuracy, never at the expert’s conclusions.
Deadlines watched
Report due dates, Part 35 windows and court deadlines raise reminders before they fall due.
Part 35 made simple
Send questions to the expert through the portal and see when the answers are due.
No chasing by email
Status updates and reminders go out automatically, and the case page always shows the next step.
We switch on each AI feature only once it has passed its own testing, and our team does the same work by hand until then.
Reports we arrange
Personal injury and much more
Our platform handles any type of claim, each with its own documents and checklist.
Personal injury
Reports on injuries from accidents at work, in public places and on the road, setting out the injury, its effects and the outlook. For employer’s liability, public liability, and road traffic claims that fall outside MedCo.
Industrial disease
Reports on illness and conditions caused by work, such as noise-induced hearing loss, explaining whether the work caused or contributed to the condition and what it means for the claimant now.
Noise-induced hearing loss
Reports on hearing loss and tinnitus said to be caused by noise at work or in service, from ENT surgeons and audiovestibular physicians, based on hearing tests and the claimant’s noise exposure history.
Military claims
Reports for claims by serving and former members of the armed forces, including hearing loss from noise in service, from experts who understand the records involved.
Clinical negligence
Reports on whether care fell below an acceptable standard, whether that caused harm, and the claimant’s condition and outlook, each from an expert in the relevant specialty.
Psychiatric and psychological injury
Reports from psychiatrists and psychologists on how an accident, injury or event has affected the claimant’s mental health, and what treatment or recovery to expect.
Multi-track and complex injury
Reports for higher-value and complex claims, often needing experts from more than one specialty working to a common timetable.
Further evidence
Addendum reports when new records or questions arise, answers to Part 35 questions, reviews of records, and joint statements where experts for each side meet to narrow the issues.

All the reports we arrange, in detail
Probita is not a MedCo-accredited medical reporting organisation. Initial reports in low-value whiplash claims arising from road traffic accidents must be sourced through MedCo, so we do not take those.
Billing
One inclusive fee per report
One inclusive fee per report, with records review included. The expert’s fee is within it, so there is one invoice from us and nothing to settle with the expert. Further work, such as an addendum report, is priced separately. Ask us for our fee schedule.
Extended credit terms available. Ask us. Invoices and statements are always in the portal, and any correction is made with a credit note, never by changing an issued invoice.
Independent, with no referral fees
We work for any instructing firm and have no ties to any one firm. We pay and receive no referral fees.
Questions
Questions firms often ask
How long does a report take?
It depends on the type of report, whether records are needed and when the claimant can be seen. Rather than quote a figure, we show you each case’s live status and next step in the portal at any time, and the reminders keep every deadline in view.
What does a report cost?
One inclusive fee per report, with records review included. Ask us for our fee schedule.
When do we pay?
Extended credit terms are available. Ask us. Your invoices and statements are always available in the portal.
Do you handle high-volume and group claims?
Yes. You can instruct many cases at once from a spreadsheet, and cases in a group can share a reference, so lists and updates can cover the whole group.
Can several people at our firm use the portal?
Yes. Your firm administrator invites colleagues, and each person signs in with their own account and two-step verification. Everyone at your firm can see the firm’s cases, so work is never stuck with one person.
Are you independent?
Yes. We work for any instructing firm and have no ties to any one firm. We pay and receive no referral fees. The medical opinion in every report is the independent expert’s own.
How is our clients’ information protected?
Case data is held in UK (London) data centres, encrypted, and seen only by people whose role needs it. We can provide data processing terms on request. See security and data protection and the privacy information for law firms.
